COVID-19 Alert Levels 3 & 4, What does this mean for you?

At a time of uncertainty under COVID-19, we’ve aimed to provide that hard to come by certainty for our clients with their rental properties. Our cloud-based, paperless management system has allowed us to take a largely ‘business as usual’ approach in many areas and with the addition of zoom meetings becoming the norm, tweaks to our processes, the transition to work from home was in place quickly to achieve just that. How could we satisfy insurance requirements at alert levels 3 & 4 when conducting physical inspections are prohibited?

A move to tenant assisted inspection where tenants would be notified of their inspection as usual via our system, but now with an outline of what photos they would need to provide the day of the inspection.

These photos could then be dropped into the same reports as usual, and should our inspector need further information from the tenant, a Zoom video meeting could be held wherever possible.

Reports off to owners and insurance requirements satisfied.

How could we conduct letting on vacant properties when physical viewings were prohibited at alert level 4?

Under level 4 and for vacant properties only, online adverts and videos could be used. Prospective tenants could apply without physically viewing the property and processed in readiness to begin their tenancy.

Documentation with electronic signatures would be used and flexible dates set down for moving into the property. This way we could prepare and get a rolling start once Level 3 came into effect.

What would letting a vacant property look like under alert level 3?

Under Level 3, we can conduct 1 on 1 viewings only and in vacant properties. We use Viewing Tracker where details of people booking viewings are captured and can be provided for contact tracing if required. Social distancing is in play together with the health & safety regulations required under COVID-19 to protect anyone involved in the viewings. Paperless documentation and entry inspections can be performed as normal with safety precautions, and key distribution to new tenants is contactless.

It’s been confidence building for our owners to see where there is a will there is indeed a way. Their property needs can be met and those too of our tenants.
